Regulations for Requesting Free ESTD Patronage and Promotion of Educational Events

The European Society for Trauma and Dissociation (ESTD) is committed to fostering education and knowledge dissemination in the fields of trauma and dissociation. As part of this mission, ESTD may offer free patronage and promotional support for educational events that align with its objectives.

This policy outlines the criteria, procedures, and legal limitations applicable to ESTD’s patronage and promotional support. By submitting a request for ESTD patronage, organizers acknowledge and accept these terms.

2. Definition of ESTD Patronage and Promotion

For this regulation:
• “ESTD Patronage” refers to the non-financial endorsement of an event, which may include allowing the event to display a statement such as “Under the Patronage of ESTD.”
• “ESTD Promotion” refers to the dissemination of event information through ESTD’s communication channels, including newsletters, website listings, and social media posts.
Important: ESTD patronage does not constitute official accreditation, quality assurance, financial sponsorship, or assumption of liability for the event’s content, speakers, or outcomes.

3. Eligibility Criteria for Patronage and Promotion

ESTD is pleased to support educational events in trauma and dissociation. If your event meets the following criteria, we encourage you to apply for free ESTD patronage and promotion to increase your outreach and visibility:
1. The event organizer or proposer must be a current ESTD member.
2. The event must be directly related to the field of trauma and dissociation.
3. Trainers, speakers, or educators must be ESTD members with recognized clinical and/or research expertise in trauma and dissociation.
4. If a discount for ESTD members is offered, it must be clearly stated and identified by a distinctive discount code.
5. The event must comply with ethical, legal, and professional standards applicable in the country where it is held.
6. Advertising materials (including images and descriptive text) must be provided in the required format and within the specified timeframe.
7. ESTD reserves the right to decline patronage for events that:
• Promote unverified, controversial, or unethical methodologies.
• Are affiliated with commercial or for-profit ventures without a clear educational mission.
• Conflict with ESTD’s mission, values, or legal obligations.

4. Application and Approval Process

4.1 Application Submission
To request ESTD patronage and/or promotion, event organizers must:
• Download, print, complete, and sign the official application form, then send a scanned copy to assistant@estd.org
• Submit all required documentation, including event details, speaker credentials, and promotional materials.
• Allow at least 8 weeks for the ESTD Board’s review.

4.2 Decision Process
• The ESTD Board (or designated subcommittee) will review applications based on the eligibility criteria.
• The Board’s decision is final. Applicants will receive a written response within 12 weeks of submission.
• ESTD reserves the right to revoke patronage or promotional support if an event is later found to violate this policy.

4.3 Right to Appeal
If an application is denied, the organizer may request reconsideration within 10 days by submitting additional documentation addressing the reasons for rejection.

5. Liability Disclaimer & Indemnification

5.1 ESTD’s Limitation of Liability
• ESTD’s patronage and promotion of an event do not imply endorsement of its content, methodologies, or speakers.
• ESTD is not responsible for the accuracy, safety, legality, or effectiveness of the event.
• ESTD does not assume liability for participant complaints, legal claims, or financial issues arising from the event.

5.2 Indemnification Clause
By applying for ESTD patronage, the event organizer agrees to indemnify and hold ESTD harmless against any claims, liabilities, damages, or expenses resulting from the event’s organization, content, or execution.

6. Intellectual Property and Promotion Rights

• The organizer certifies ownership of all submitted promotional materials and grants ESTD a non-exclusive, royalty-free license to use them for promotional purposes.
• ESTD reserves the right to edit, modify, or decline any advertising materials that do not align with its standards.
• ESTD may remove promotional materials at any time, especially in case of policy violations or reputational risks.

7. Ethical and Professional Standards

• Events receiving ESTD patronage must adhere to the highest ethical and scientific standards.
• Organizers must immediately notify ESTD of any changes affecting compliance with these regulations.
• ESTD reserves the right to withdraw patronage or promotional support if ethical concerns arise.

8. Dispute Resolution & Governing Law

If a disagreement arises regarding the application or interpretation of this policy, the matter shall be reviewed by the ESTD Board, whose decision shall be final and binding. No appeals or legal actions may be pursued against ESTD regarding its decision on patronage or promotional support.

9. Policy Updates

ESTD reserves the right to modify this policy at any time. The latest version will always be available on the ESTD website.
